These may include professional contacts or external organisations relevant to the coaching context, including platforms such as Lumina Learning, Strengths Profile, or other recognised psychometric or 360 feedback providers where relevant.

How long we keep information

We retain personal data only as long as necessary. Coaching engagement records, contact details, and payment information are typically retained for 6 years to meet tax, legal, and insurance obligations. Feedback or psychometric data (including 360 responses) is stored for up to 12 months unless otherwise agreed with the client. Individuals may request earlier deletion, subject to legal requirements.

Who we share information with

Data processors

Microsoft (Email and cloud service provider)
Microsoft provides our email, calendar, and cloud storage services through Microsoft 365.
They process personal data (e.g. names, email addresses, and message content) on our
behalf for the purposes of communication, scheduling, and secure data storage.

TidyCal (Booking system)
This data processor does the following activities for us: TidyCal processes client names,
email addresses, and appointment information on our behalf to manage bookings for
coaching sessions.

MailerLite(Email marketing platform)
This data processor does the following activities for us: MailerLite manages mailing list
subscriptions, stores contact preferences, and sends marketing communications such as
newsletters on our behalf.

Google Analytics (Website analytics platform)
Google Analytics collects anonymised and pseudonymised usage data to help us
understand how visitors interact with our website. This includes page views, user journey
flow, device/browser type, and time spent on pages. We use this information to improve
the performance and user experience of our site. No personally identifiable information is
stored.

Microsoft Clarity (Website behaviour analytics tool)
Microsoft Clarity records anonymised session replays, clickmaps, scroll depth, and other
user interaction data. This helps us understand how visitors use our website and identify
areas for improvement. Clarity does not collect personally identifiable information, and
data is used only for analytics purposes.

Hostinger (Website hosting provider)
Hostinger provides website hosting services for Elevate Executive Coaching. This includes
storing website files, managing hosting infrastructure, and potentially handling contact
form submissions or analytics data depending on how the site is configured. Hostinger
helps ensure that our website remains secure, functional, and accessible.

Others we share personal information with

Suppliers and service providers – We may share information with trusted service providers
where necessary to deliver our coaching services — such as IT support, website
developers, or legal and accounting professionals. These parties are subject to
confidentiality agreements and only process data in line with our instructions.
